Data Deletion

You can ask us to delete your Adhyog account and the data held with it at any time. This page explains how to request that, what gets removed, how long it takes, and the narrow set of records we keep for legal, security and compliance reasons.

It covers every app from Adhyog Software Private Limited, including the Adhyog, Adhyog Restaurant, Adhyog Services, Adhyog Care and Adhyog School mobile apps, and Adhyog on the web and on the desktop.

1. How to request deletion

1.1 By email

Write to info@adhyog.com from the email address registered on the account, with the subject Data deletion request. Tell us the business name and whether you want the whole account deleted or only a specific person’s records removed.

We reply to confirm the request before anything is deleted, because deletion cannot be undone. If we cannot verify that the request comes from the account holder, we will ask for proof rather than act on it.

1.2 From inside the app

A business can erase the personal details of a customer, patient or student — and, in the shop app, of an employee — from that person’s page in Adhyog. Records the law requires the business to keep, such as bills and a clinic’s medical records and documents, stay on record, and erasing someone doesn’t change backups the business has already saved. Deleting a whole account is handled by email so we can confirm it is genuinely you.

1.3 If a business holds your data

If you are a customer of a shop, a patient of a clinic, or a student or parent at a school that uses Adhyog, that business decides what it keeps about you. Ask the business to delete your record. If you write to us instead, we may pass your request to the business.

2. What gets deleted

• Your login: email address, display name, password hash, roles and access, and the phones registered to receive alerts.
• Business data you entered: shops, customers, invoices and line items, expenses, suppliers, inventory and session notes — and, for Adhyog Care and Adhyog School, the patient, student and staff records.
• Uploaded files: logos, product images, proof-of-pickup and proof-of-delivery photos, and documents attached to bills or records.
• Backups your business saved to Adhyog from inside the app.

3. WhatsApp connection

If your business connected its own WhatsApp Business account to Adhyog, deleting your account also removes the stored connection: the account and phone-number identifiers, the access token we hold to send on your behalf, and the delivery records of messages we sent for you.

Your WhatsApp Business account itself belongs to you, not to Adhyog — it stays with Meta and is unaffected. You can disconnect it from Adhyog at any time without deleting your Adhyog account, and you can delete it separately through your own Meta Business settings.

4. How long it takes

• Live data is normally removed within 30 days of a confirmed request.
• Our automatic backups roll over by themselves — each database backup is kept for 14 days and the point-in-time recovery archive for 30 days — so deleted data normally leaves them within about five weeks of the purge. The copies taken before each software update (the last ten) and any second-location backup copies are replaced as newer ones are made, so deleted data can stay in them longer; they are used only to restore the service.

5. What we keep, and why

The law requires us to keep certain records even after an account closes. Where that applies we keep the minimum required and nothing more:

• Our own billing records — the invoices we issue to you for a paid plan and your payments to us — for the period the law requires.
• Your account’s sign-up details, where the law requires us to keep them after the account closes, for the period it requires.
• Records the law or an authority requires us to preserve, or that we need to establish or defend a legal claim.
• Server logs and security records, for up to one year (Privacy Policy, section 8).

These are kept only for security, legal and compliance purposes. They are not used to operate the service, are not shared except as the Privacy Policy describes, and are deleted once the retention period ends.

We don’t keep your business’s own records after deletion — bills, invoices and GST records, a clinic’s patient records or a school’s student records. If the law requires you to keep any of them, export them first (Terms section 5).

6. Your rights

Subject to applicable law, you may ask us for a summary of the data we hold about you, correct it, or delete it. See the Privacy Policy for the full list of rights and how we handle data.
